Every September, music school owners across the UK face the same challenge: turning a blank calendar into a structured academic year that parents can rely on, teachers can plan around, and billing can be built on.

Start with the local school calendar

Plan your events calendar
Beyond lessons and exams, your year should include events that build community and showcase progress:
End-of-term recitals (one per term, ideally). These are the most effective retention and referral events your school can run. Students perform for family and friends, parents see tangible progress, and prospective families see what your school is about. Book venues early — church halls and community centres fill up quickly in December and July.
Open days or taster sessions. Schedule one at the start of each term, when enquiries from new families are highest. September and January are the strongest months for new enrolments.
Workshops or masterclasses. Holiday workshops (half-term, Easter, summer) offer additional revenue and keep students engaged during breaks. Visiting musician masterclasses add variety and prestige.
Informal concerts or practice performances. Lower-stakes performance opportunities mid-term — a casual "play what you've been working on" event — build performance confidence without exam pressure.
Map these events onto your calendar at the start of the year. Even if details aren't finalised, placeholder dates ensure you're not scrambling to find a venue in November for a December recital.
Communicate the calendar early and clearly
Parents want to see the full year's dates as early as possible — ideally before the first term begins. Publish:
- Term dates (start, end, half-term, closure days)
- Invoice dates and payment deadlines per term
- Exam session windows and entry deadlines
- Events (recitals, workshops, open days)
- Key contact information and policies (cancellation policy link, portal link)
