    Cancellations are an unavoidable part of running a music school. Children get ill. Families go on holiday mid-term. School trips clash with lesson times. Parents forget. And occasionally, someone just doesn't feel like it.

    The question isn't whether cancellations will happen — it's how your policy handles them when they do. A well-designed cancellation policy protects your revenue, treats families fairly, keeps your timetable workable, and prevents the slow erosion of commitment that can hollow out a school from the inside.

    A bad policy — or worse, no policy at all — leaves you absorbing the cost of empty slots, rescheduling lessons ad hoc, and building resentment on both sides.

    Here's how to get it right.

    Why you need a written policy

    An alarming number of UK music schools operate without a formal cancellation policy. The owner handles each cancellation individually, making judgment calls on whether to offer a refund, a credit, a make-up lesson, or nothing. This feels flexible and kind, but it creates three problems.

    First, inconsistency breeds resentment. When one family gets a make-up lesson and another doesn't, word gets around. Parents talk at the school gate. The perception of unfairness damages trust far more than a firm-but-fair policy ever would.

    Same-day cancellations (less than 24 hours) should generally be treated as a no-show unless there are exceptional circumstances. This means the lesson fee is retained and no make-up is offered.

    2. What happens to the lesson fee

    There are four possible outcomes for a cancelled lesson, and your policy should be clear about which applies in which circumstances:

    Full retention (no refund, no credit, no make-up). The strictest approach. The lesson fee stands regardless of whether the student attends. This is the default for no-shows and late cancellations. It's also standard in termly billing models where the family has committed to the full term.

    Make-up lesson offered. The cancelled lesson is rescheduled to a different slot within the same term. This is the most common approach for cancellations with adequate notice. It should be reserved for exceptional circumstances: teacher cancellations, school closures, or extended student illness (e.g., a student who misses three or more consecutive weeks).

    A balanced policy might look like this: "Cancellations with 24+ hours' notice receive a make-up lesson, subject to availability. If no make-up slot is available within the current term, a credit is applied to the following term. Cancellations with less than 24 hours' notice or no-shows are charged in full. Teacher cancellations are always made up or credited."

    3. Make-up lesson mechanics

    Offering make-up lessons is the fairest approach, but the logistics can be painful if you don't have a system. Here's how to make it manageable:

    Designate specific make-up slots. Rather than trying to squeeze make-ups into any available gap in the timetable, reserve specific times for them. A common approach is Saturday mornings or a weekday evening dedicated to make-ups. This limits the scheduling disruption to your regular timetable.

    Set an expiry window. Make-up lessons should be used within the current term or, at most, the first two weeks of the following term. Without an expiry, you accumulate a growing backlog of owed make-ups that becomes impossible to fulfil.

    Limit the number of make-ups per student per term. Two or three make-ups per term is reasonable. Beyond that, the student's attendance pattern suggests the lesson time doesn't actually work for the family, and the conversation should shift to finding a better slot or acknowledging that the commitment isn't there.

They plan around it. They cancel less. And when they do cancel, the process is clean rather than awkward.

    Communicating the policy

    Share your cancellation policy at four touchpoints:
