Fees: 1.5% + 20p per UK card transaction. On a £264 termly invoice, that's £4.16 — significantly less than the admin time you'd spend processing a bank transfer and matching it to the right student.
Benefits: Instant confirmation (you know immediately that payment has been received), automatic reconciliation (no manual bank statement checking), and a professional experience for parents (they click a link, enter their card, and they're done).

Bank transfer (BACS)

7 days before the due date: friendly reminder. An automated email: "Just a reminder that your invoice for Spring Term is due on [date]. You can pay online here: [link]." No apology, no heavy tone. Just a helpful nudge.
On the due date: payment due notice. Another automated email: "Your invoice of £264 for Spring Term was due today. If you've already paid, please disregard this message. If not, you can pay here: [link]."
7 days after the due date: overdue notice. Slightly firmer: "Your invoice is now 7 days overdue. Please arrange payment as soon as possible to avoid any disruption to [student name]'s lessons. Pay here: [link]."
14 days after the due date: personal contact. At this point, automated emails have failed. Pick up the phone or send a personal message. Be direct but empathetic: "I noticed Oliver's invoice is still outstanding — is everything OK? Happy to set up a payment plan if that helps." This call resolves the vast majority of late payments. Sometimes the email went to spam. Sometimes the parent forgot. Sometimes there's a genuine financial difficulty.
28+ days overdue: final notice. This is rare if the earlier steps are followed. A written notice stating that lessons will be paused until the account is settled. This should be a last resort, clearly communicated in your payment terms from the outset.

Mid-term joiners. Calculate a pro-rata fee based on the remaining weeks in the term. If the full term is 12 weeks at £264 and the student joins in week 5, the pro-rata fee is (8 ÷ 12) × £264 = £176. Invoice them immediately and include them in regular billing from the next term.
Mid-term leavers. Your terms and conditions should specify the notice period required (typically one full term).
