    Payment terms are the invisible architecture of your music school's finances. When they're well-designed and clearly communicated, money arrives on time, disputes are rare, and both you and your families know exactly where they stand. When they're vague, inconsistent, or missing entirely, you spend your term chasing invoices, negotiating ad hoc arrangements, and quietly resenting families who treat payment as optional.

    This isn't just about getting paid. Payment terms set the professional tone of your school. They signal that you run a serious operation, that your teachers' time has value, and that the service you provide deserves the same financial respect as any other professional engagement.

    Here's what your payment terms should cover and how to get them right.

    The essential clauses

    When payment is due

    Be specific. "Payment is due before lessons commence" is ambiguous — does that mean before the first lesson or the night before? "Payment is due by [specific date], at least 7 days before the first lesson of term" removes all doubt.

    For termly billing, the standard approach is to invoice 2–3 weeks before term starts with a due date 7 days before the first lesson. This gives parents time to budget and pay, while ensuring you know before term begins who has settled and who hasn't.

    If you offer payment plans, specify the instalment dates: "First instalment due by [date]. Second instalment due by [date]." Don't leave it to the parent to decide when to pay their instalments — that's a recipe for delay.

    What happens when payment is late

    Your terms should state the consequences of late payment clearly enough that you never need to have an improvised conversation about it. A typical structure:

    "Invoices not paid by the due date will receive an automated reminder. Invoices remaining unpaid 14 days after the due date may incur a late fee of £[amount]. Lessons may be suspended for accounts overdue by more than 28 days."

    Notice period for withdrawals

    Without a clear notice period, families can disappear mid-term with no warning, leaving you with a teacher who's been paid, a room that's been booked, and a slot that you can't fill at three days' notice.

    The UK standard for private music schools is one full term's notice. This means:

    • If a family wants to leave at the end of Spring Term, they must give notice before Spring Term begins (or by a specific date you define, such as the first week of Spring Term)
    • If they give notice mid-term, they're committed (financially) until the end of the following term
    • Notice should be given in writing (email is fine) to a specified contact
