    Here's a truth that doesn't appear in any music education textbook: the parents are your real customers. The children are your students, yes. The music is your craft, absolutely. But the people who decide whether to enrol, whether to re-enrol, whether to recommend your school to friends, and whether to pay their invoices on time — those are the parents.

    And the single biggest factor in how parents feel about your school isn't the quality of teaching (though that matters enormously). It's the quality of communication.

    A school where parents feel informed, included and respected earns loyalty that survives the inevitable bumps — a missed lesson, a dip in motivation, a price increase. A school where parents feel left in the dark, chasing for basic information and guessing whether their child is making progress, loses families without ever understanding why.

    Email

    Email remains essential for formal, broadcast communication: term-start letters, invoice delivery, policy updates, event invitations, and newsletters. It's the right channel for one-to-many messages that parents need to be able to reference later.

    It's a poor channel for back-and-forth conversations. An email thread about rescheduling a lesson quickly becomes a mess of replies, forwards and lost context. Use email for announcements, use in-app messaging for conversations.

    WhatsApp / SMS

    The temptation to use WhatsApp is understandable — every parent has it, it's instant, and it feels friendly. But WhatsApp as a primary communication channel for a music school is a trap.

    Messages get buried under family group chats and notifications. There's no separation between personal and professional. You can't search WhatsApp by student name. You can't delegate a WhatsApp conversation to your admin without sharing your personal phone. And you're implicitly committing to instant responses at all hours.

    Use WhatsApp or SMS for genuine urgency only: a teacher calling in sick 30 minutes before lessons start, a last-minute room change. For everything else, direct parents to your portal or messaging system.

    Phone calls

    Reserve phone calls for situations that require a personal touch: welcoming a new family, discussing a student's progress in depth, handling a sensitive issue, or chasing a significantly overdue invoice. A phone call carries emotional weight that a text message doesn't — use it deliberately.

    For most UK music schools, the optimal communication architecture is:

    • Parent portal for always-available information (schedule, invoices, lesson notes, practice)

    • Email for formal announcements and invoices

"I've noticed over the last few weeks that Emily seems to be finding rhythm work challenging — here's what I'd suggest" is far more effective when backed by documented observations.

    After each lesson: A lesson note appears in the parent portal. The parent knows what happened and what to practise. No need to ask.

    Mid-term: A brief progress update or a check-in message from the teacher. Not a formal report — just a sentence: "Sophie's really getting to grips with her Grade 2 pieces. She's on track for a strong exam result." This is the kind of message that gets shared with grandparents.

    Before invoice due dates: An automated reminder that the invoice is coming due. The parent pays before you need to chase.

    When something changes: If a lesson needs to be rescheduled, a room changes, or a teacher is absent, the notification goes out immediately — not when the parent turns up to find a locked door.

    Before the term ends: Re-enrolment information, the next term's dates, and an invitation to share feedback. The transition to the next term feels seamless rather than uncertain.

    A student who isn't progressing. This conversation is sensitive but necessary.
