You know you need to switch. Your current system doesn't do what you need, the workarounds have multiplied into a fragile web of spreadsheets and manual processes, and every week brings another hour of admin that better software would eliminate. Or maybe you've outgrown spreadsheets entirely and you're ready for a proper management platform.
The thing stopping you isn't the decision. It's the fear of the transition — the data migration, the teacher retraining, the parent communication, the inevitable period of chaos when the old system is gone and the new one isn't fully running.
That fear is understandable. It's also manageable. Thousands of music schools have switched software successfully, and the ones who do it well follow a predictable pattern. Here's the playbook.
When to switch (timing matters)
The best time to switch music school software is between terms. Specifically, during the summer break or the Christmas break — the two longest gaps in the UK teaching calendar.
