Every music school software platform has a features page. They all list scheduling, billing, student management, communication, and reporting. They all sound impressive. And they all leave you with the same question: which of these features actually make a difference to my daily life as a school owner?
The honest answer is that most features on most platforms are fine. Scheduling works. Billing generates invoices. Student profiles store data. The differences that matter aren't whether a feature exists — they're whether it's designed for how your school actually operates.
Here's a framework for cutting through the noise and evaluating what genuinely matters.
Tier 1: The features that save you hours every week
These are the features that, if they work well, transform your admin workload. If they work poorly or don't exist, they're the reason you're still up at 10pm on a Sunday managing spreadsheets.
Conflict-proof scheduling
The scheduling system should make double-bookings physically impossible — not just warn you after you've made one. When you assign a student to a time slot, the system should check: is the teacher available? Is the room free? Does the student have another lesson at this time? If any of these conflict, the slot shouldn't be bookable.
Beyond conflict prevention, the scheduling system should handle UK term-based lesson patterns. You set the term dates (start, end, half-term), and the system generates recurring lessons that automatically skip non-teaching weeks. If your scheduling tool requires you to manually delete lessons during half-term or add them one by one each term, it's not saving you time — it's redistributing it.

If lesson notes require a desktop computer, a multi-step process, or manual sharing, teachers won't write them. The feature only works if it's frictionless.

For schools with 3+ teachers, payroll tracking (calculating what each teacher is owed based on lessons taught) and role-based permissions (teachers see their students, not your billing data) become important. Solo teachers don't need this; academies can't function without it.
Exam management
Tracking which students are preparing for which grade, on which instrument, via which exam board, with entry deadline reminders and results recording. Essential for UK schools where ABRSM and Trinity preparation is a core part of the service.

A few features that appear prominently on marketing pages but rarely drive a purchasing decision:
